Guardian access is planned for middle- and high-school groups; college groups will not have a parent portal.

Does your scheduling allow members to swap events?

If enabled, members can request a qualified substitute for an event they are expected to attend. You can change this later in group settings.

Using a school Google account?

Some districts block new apps until their Google Workspace administrator approves them. If you plan to connect a school Google Calendar or Drive folder, send our ready-to-forward approval request to district IT before you try to connect. Students do not need Google accounts to see the group calendar or music in Band At Ease.

Prepare your roster

A desktop upload makes this much easier than entering a band one person at a time.

Choose a CSV rosterExport a spreadsheet as CSV. Use one Full Name column, or separate First Name and Last Name columns. Optional columns: Display Name, Grade/Classification, Email, Instrument, Part, Section, Role. Use plain names; add an instrument to Display Name only when two people have the same name. Review every name below before submitting. You may include the primary director in the roster; if their name matches the one above, that seat is counted only once.Download the sample group roster template

The roster stays on this device until you submit. It is then held securely for admin review, imported after approval and any required verification, and removed from the temporary signup record.

Set your licenses

The number you select is your group's seat count. Paid groups are invoiced at $8 per seat; invited test groups are complimentary. You can include extra seats for move-ins or test members. Guardians are included with their student.

Upload a roster to calculate the minimum. Extra seats are allowed.

License term
Each license year runs July 1 – June 30.
